Administrative Support Functions:
• Ensure operational daily/weekly/monthly annual reports are updated and submitted on time
• Ensures staff related Human Resources information is circulated and understood explicitly
• Coordinates renewal of licenses, contracts, agreements with third parties and prepares purchase requisitions according to operational needs
• Generates accurate Biostation reports to monitor staff attendance and asset register
• Supports the intra and inter-departments in all administrative functions
• Coordinates for travel and accommodation for guests and Senior Management as required• Coordinates presentations when required for Senior Management
Correspondence:
• Coordinates in intra-departmental meetings, takes, circulates, follow ups minutes of meeting • Supports in the documentation and communication needed for all third parties
Data / Record Management:
• Prepares and maintains reports using Microsoft packages
• Maintains filling system for timely retrieval purposes• Manages diaries and prioritizes jobs
Customer Service:
• Deals with the third parties in a polite and courteous manner• Answers all phone calls in a professional manner
