Job Description

Our client is an international law firm and seek an experienced Receptionist with excellent written and spoken English to make that all important ‘first impression. Reporting to the Head of Operations and Marketing, you will be responsible for the Reception area and conference room booking system, manage external telephone calls, ensuring excellent client Service and that the firm’s business needs are met in an efficient manner.

Description:

  • Manage all incoming telephone calls to the office, forwarding calls and taking messages where necessary
  • Greet clients and all visitors, creating a favourable first impression of the Firm. Immediately inform the meeting host of their visitor’s arrival, avoiding any unnecessary waiting time for the client or visitor. Direct clients or visitors to conference rooms when appropriate
  • Attend to client comfort, including taking their jackets and bags, taking messages and arranging refreshments
  • Monitor the condition of the reception area, keeping it tidy and in a fit state to receive clients and visitors
  • Maintain the conference room booking system or electronic calendar
  • Ensure that all arrangements for all meetings and Video Conferences are in place before commencement of the appointment
  • Respond and follow up where necessary, all bookings, general enquiries and feedback whether made in person, by telephone or electronically
  • Liaise with key staff regarding change and developments in requirements for meetings and functions, so they are kept fully informed at all times, ensuring the most efficient service
  • Assist with secretarial duties and assist the Head of Operations & Marketing
  • Help the office with additional administration duties when necessary
  • Maintain intranet pages for certain areas for the Middle East
  • Maintain a professional appearance at all times

Skills

  • Minimum of two years’ work experience in a high level customer service role such as corporate reception, airline or hotel industry
  • Excellent English required. Fluent Arabic would be an advantage
  • Basic knowledge of computer applications such as Microsoft Word, PowerPoint and Excel
  • Able to adapt communication styles to different audience, excellent level of written and oral communication
  • Personable, organised, efficient and immaculately presented. Should be calm under pressure and work well in a team
  • Confidentiality is a must
  • Must currently reside in the UAE
