Job Description

Reporting to the Senior Manager Admission and Dubai Campus Director , the purpose of this role is to:

Face to Face – Ensure that customer service is delivered of highest quality and in accordance with the set policies and procedures. Present ADU and enhance the brand name to every guest ensuring that they are given the best experience possible.

Over Telephone – Receive and routes incoming calls and greet callers as per ADU standard maintaining high level of professionalism. Moreover, provide general information and assistance to the people who approach the University Campus for information over telephone. Ensure that professional status and image of the University is upheld by providing a good first impression on the telephone.

Duties and Responsibilities for Students:

•As a Receptionist, Interaction with students (Daily) with respect to: Meeting, Greeting and helping prospective students who come to ADU through the Reception Area and guide them as per requirement. Meeting, Greeting and helping existing students who come to ADU through the Reception Area and seek assistance.

•As an Operator, Facilitate student communication by providing ready information about the University and directing the students to appropriate departments based on their query and requirement – daily

Duties and Responsibilities for Academic Departments:
•As a Receptionist, guiding guests, visitors and stakeholders to respective academic departments as the need be
•As an Operator, interaction with relevant departments during transfer of telephonic calls to the respective departments – daily

Duties and Responsibilities for other Departments:
•As the Receptionist, guiding guests, visitors and stakeholders to respective departments as the need be
•As the Operator, interaction with relevant departments during transfer of telephonic calls to the respective departments – daily

Duties and Responsibilities for Suppliers / Service Providers:
•As the Receptionist, guiding suppliers/ service providers when they visit ADU to respective departments as the need be
As the Operator, interaction with relevant departments during transfer of telephonic calls to the respective departments – daily

General Duties and Responsibilties:

As a Receptionist:

•Proactively welcome a customer the moment they step in to ADU reception area without waiting for them to approach you
•You have to step forward towards them and warmly greet them and guide them towards the right direction
•You need to direct them to the security so that the security can help them to deposit personal id and collect the visitor’s batch
•Reception area cannot be left unattended at any time hence following roster and back-up plan is essential.

As an Operator:

•Responsible for managing generic queries from staff, students and the public, in general over the telephone
•Answer telephone calls with the approved greeting, screen and direct calls to the relevant department / employee
•Must be aware of all names and designations of all ADU Employees/HOD/etc. to serve the callers in the best possible way avoiding putting them on hold as much as possible to search names/people etc.
•Take messages from callers for persons not reachable and communicate the same to them by email always using the approved template
•General administrative and clerical support
•Ensure that the Operator console never remains unattended hence following roster and backup plan is essential.
•Support recruitment and admission when needed with calling the prospect students and follow up .
•Take care of the aesthetics of the Reception Area and report to Admission immediately if any help is needed for smooth running of operation
•Responsible for the Operator Telephone system, headset and maintaining it in good condition.
•Submit reports regularly, if needed, from time to time

To qualify, you should Higher Diploma. Bachelor’s Degree from an accredited university is desirable. Experience in customer service, guest relations and/or as front office duties is a must.
English is a must, Arabic is preferred
